Customer DM reply templates for after hours

A useful reply gives a buyer a next step without promising something you haven’t checked. These 6 templates are for manual use today. They are not replies from a working MAVO agent.

Copy a reply into your notes or saved replies. Replace every bracketed placeholder before sending. Use a general away message for unknown questions; use the specific replies only after reading the buyer’s message. Remove any sentence you cannot keep true.

When the shop is closed

Use your real opening time and timezone. Only promise a reply window you can meet.

Thanks for your message. We’re offline now and reopen at [time, timezone, day]. Our products and delivery policy are at [official shop link]. We’ll review your question when we reopen.

This is the only general away message here. It can acknowledge a question, but cannot answer it or confirm an order. If your channel supports an away message, check its settings and preview the result before enabling it.

Is this size or colour in stock?

Check the exact variant and the location that fulfils online orders before saying it is available.

I haven’t confirmed availability for [product, size, colour] yet. We’ll check when we reopen. You can view that variant at [official product link], but this message does not reserve it.

Shopify can allow sales after inventory reaches zero. A working buy button is not proof of stock. Never invent a quantity, reservation or restock date. If you have checked, replace the first sentence with the availability you actually confirmed.

Will it arrive by Friday?

Separate preparation time from carrier transit. Check destination, service and your actual shipping policy.

I can’t confirm arrival by [date]. Our delivery policy is [policy link]. Share your delivery country and postcode, and we’ll check dispatch timing and delivery options when we reopen.

Ask only for the location information you need, not a full address in a public comment. Once checked, state an estimated dispatch window and estimated transit time separately. Don’t turn an estimate into a guarantee.

Which size should I choose?

Use the product’s real measurements or size chart. Do not invent fit advice from a photograph.

The size chart for [product] is here: [size-chart link]. Compare [relevant measurement] with the chart. If you’re between sizes, tell us which sizes you’re considering and we’ll check the product notes when we reopen.

Swap the measurement placeholder for the one your chart actually uses. If there is no chart, say you need to check rather than sending a generic chart for another product. Avoid guaranteeing a fit you cannot establish.

How do I buy it?

Open the link yourself and confirm it belongs to your official store and points to the right item.

You can choose [product and variant] and complete payment through our store here: [official product or checkout link]. Please don’t send card details, passwords or verification codes in this conversation.

Use a product link when the buyer still needs to choose a variant. A DM or cart is not a completed order or a stock reservation. Check the actual order record before confirming payment. Don’t promise that every purchase through a social message has platform purchase protection.

Can I get a refund?

Acknowledge the request without claiming approval or payment. Review the order, policy and applicable consumer rights.

We’ve received your refund request, but haven’t approved or issued a refund. Please send your order number privately, without payment details. Our return policy is [policy link]. We’ll review the request when we reopen.

If a refund is later approved and actually initiated, send a separate update with the amount and method. Do not say the money has arrived until that is established. Bank processing times vary; use the payment provider’s current guidance rather than promising an instant refund.

Leave yourself a morning handoff

Keep a short private list: the conversation, the unresolved question, the fact to check, and the reply you owe. Review money requests and delivery deadlines first. If you cannot resolve a question, send an honest update instead of silently extending a promised reply time.

For the wider routine, read how to answer customer messages after hours. These templates reduce repeated typing; they do not monitor an inbox, check stock or take orders for you.

Check checkout before blaming replies

A faster reply cannot fix a missing shipping rate or failed payment. If your store gets visits without orders, follow our Shopify checkout diagnostic before changing your messages. Find the actual drop-off and fix one evidenced problem.

What MAVO is building

MAVO is planning an agent for a seller’s Shopify store and social channels. There is no working agent, store connection or paid plan yet. Join early access to leave an email and agree to be contacted about MAVO. No store credentials or payment are needed.

MAVO’s site and business are built and run by AI agents on NanoCorp; the replies above are tools for sellers to adapt, not evidence of a live integration.

Check the underlying rules

Shopify explains selling when out of stock, checkout and inventory holds, and issuing refunds. Your shop’s policies and actual records still decide what you can tell a buyer.
